Integrative Nurse Coach® Symposium Terms and Conditions

The following Terms and Conditions apply to all attendees registering for the 2024 Integrative Nurse Coach Symposium. By completing the registration process, you are agreeing to adhere to these terms, including our cancellation and refund policy. We encourage you to read through the details carefully.

All registrants will receive written confirmation/receipt of registration.  If you do not receive confirmation from INCA, please contact us at admissions@inursecoach.com.

Summary of Terms and Conditions

The following Terms and Conditions apply to all attendees registering for the 2024 Integrative Nurse Coach Symposium. By completing the registration process, you are agreeing to adhere to these terms, including our cancellation and refund policy. We encourage you to read through the full terms and conditions carefully and not just this summary.

  1. Registration and Payment:
    • Complete registration requires successful payment and confirmation.
    • Payments must be made in full, with the option for a Payment Plan.
    • Payment Plans incur a 5% fee and must be fulfilled prior to the event.
    • Fraudulent information may lead to registration cancellation.
  2. Cancellation and Refund Policy:
    • Full refunds available within 48 hours of registration, with partial refunds through 90 days before the Symposium begins. No refunds thereafter.
    • Substitutions allowed with notice to admissions@inursecoach.com; cancellation doesn’t void Payment Plan obligations.
  3. Conduct During the Symposium:
    • Professional behavior required; disruptive actions may lead to removal.
    • A code of conduct must be followed, including respectful speech and non-disruptive behavior.
    • Serious violations may lead to expulsion and reporting to authorities.
  4. Intellectual Property Rights:
    • Event materials are protected by copyright; no unauthorized reproduction or distribution.
  5. Liability and Indemnification:
    • Organizers are not liable for losses, and attendees must indemnify organizers for any claims.
  6. Force Majeure:
    • Organizers are not liable for failures due to unforeseen circumstances, may offer credit or partial refunds.
  7. Privacy Policy:
    • Personal information handling is described, including potential sharing with sponsors and exhibitors.
  8. COVID-19 Policy:
    • Specific guidelines, risks, and responsibilities related to COVID-19 are detailed.
  9. Cancellation, Postponement, and Virtual Contingency Policy:
    • Details for changes, cancellations, postponements, and transitions to virtual formats.
  10. Recording and Photography Policy:
    • Restrictions on recording, live-streaming, and commercial photography.
    • Encouraged to take still images and post on social media, tagging INCA and using hashtag #nursecoachsymposium #nursecoach
  11. Right to Use Name, Likeness, Visual, Audio, and Image Release:
    • Attendees grant INCA rights to use their image, name, and voice.
  12. Governing Law, Invalidity of Provisions, and Modification to Terms:
    • Governed by Florida laws, provisions for invalid terms, and the right to modify Terms and Conditions.
  13. Acknowledgment:
  • Agreement to Terms and Conditions confirmed by completing the registration process.

Full Terms and Conditions

  1. Registration and Payment

1.1 Registration for the 2024 Integrative Nurse Coach Symposium is considered complete only upon successful payment and confirmation from the organizers.

1.2 All payments must be made in full at the time of registration, using the accepted payment methods stated on the registration page.

1.3 If you choose to pay through a Payment Plan, all installments must be completed before the conference begins. Failing to fulfill the Payment Plan will result in a loss of admission to the Symposium, and no refund will be provided for any payments made previously.

1.4 A 5% administration fee will be added to all Payment Plans, and this fee must be paid along with the initial deposit.

1.5 Attendees must provide accurate and complete registration information. Any false or fraudulent information may lead to the cancellation of registration without a refund.

  1. Cancellation and Refund Policy

2.1 Cancellations must be made in writing via email within 48 hours of registration to receive a full refund for the Symposium registration fee.

2.2 50% Symposium registration fee refunds will be issued after 48 hours from the time of registration until 90 days before the Symposium’s start date.

2.3 Substitution of attendees may be allowed with prior written notice and approval from the organizers up until 30 days before the Symposium.

2.4 All Cancellation or Substitution requests must be sent in writing to admissions@inursecoach.com.

2.5 Should you cancel your registration while on a Payment Plan, the terms of the Payment Plan still apply, and you are obligated to pay the full amount. Cancellation does not exempt you from completing the agreed-upon payments.

  1. Conduct During the Symposium

3.1 Attendees must conduct themselves professionally and adhere to all rules and regulations of the venue and the event itself.

3.2 Any behavior deemed inappropriate or disruptive may result in removal from the event without a refund.

3.3 Attendees are responsible for their personal belongings and are liable for any damage they may cause to the venue or event materials.

3.4 INCA is dedicated to creating an environment that is friendly, safe, and inviting for all, regardless of individual characteristics such as gender, sexual orientation, disability, race, ethnicity, religion, national origin, or other protected statuses. We call on all attendees, staff, media, speakers, volunteers, and organizers to contribute to a positive and secure Symposium experience for everyone.

  • The following Code of Conduct applies to all participants in all Symposium-related activities, including side events and social functions:
    • Show thoughtfulness and respect in both speech and behavior.
    • Avoid any actions or words that are demeaning, discriminatory, or harassing.
    • Do not disrupt speakers or fellow attendees during sessions, and be punctual for each session’s start.
  • Intimidation, harassment, discrimination, or any speech or behavior considered derogatory, abusive, or demeaning will not be accepted. This includes, but is not limited to, remarks about gender, sexual orientation, disability, appearance, religion, nationality, inappropriate use of nudity or sexual images in public areas or presentations, or threatening or stalking any Symposium participant, including attendees, speakers, volunteers, exhibitors, guests, INCA staff, service providers, and others.
  • If someone is asked to cease unacceptable behavior, immediate compliance is expected. Should any participant engage in such conduct, the INCA staff reserves the right to take suitable action, including but not limited to expulsion from the Symposium without refund and/or exclusion from future INCA events. Particularly serious offenses may lead to even more stringent penalties, including potential reporting to local authorities.
  • If you witness a violation of this code of conduct, report all violations immediately to an INCA staff member, or email admissions@inursecoach.com.
  1. Intellectual Property Rights

4.1 All content, including presentations, materials, and media, are protected by copyright and other intellectual property laws.

4.2 Attendees may not reproduce or distribute any event materials without express written permission from the organizers or the respective content owners.

  1. Liability and Indemnification

5.1 The organizers shall not be liable for any loss, injury, claim, or damage of any kind resulting from attendance or participation in the event.

5.2 Attendees agree to indemnify and hold harmless the organizers, their agents, and employees against any claims arising from their actions or omissions during the event.

5.3 Attendee acknowledges that there are hazards and risks of physical injury or illness to attendees of the Symposium and that not all such hazards or risks can be fully eliminated. By purchasing or attending the Symposium, Attendee freely waives, releases from liability, voluntarily agrees to assume all risks, including the full risk of bodily injury or property damage, regardless of severity, or death that Attendee may sustain as a result of attending the Symposium, whether or not caused by the negligence or gross negligence of Management or its agents.

  1. Force Majeure

6.1 The organizers are not liable for any failure to perform due to unforeseen circumstances or causes beyond their control, including but not limited to acts of God, wars, government regulations, disasters, strikes, civil disorder, or curtailment of transportation facilities.

6.2 In the event of cancellation due to force majeure, the organizers may offer a credit for a future event or a partial refund as determined in their sole discretion.

  1. Privacy Policy

7.1 Attendees’ personal information will be handled in accordance with our Privacy Policy, which is available on our website.

7.2 The organizers may share attendees’ names and professional details with sponsors and exhibitors, unless expressly requested otherwise by the attendee.

  1. Governing Law and Jurisdiction

8.1 These Terms and Conditions shall be governed by and construed in accordance with the laws of Florida, where the event is organized.

8.2 Any disputes arising out of or in connection with the event shall be subject to the exclusive jurisdiction of the state where the event is organized.

  1. COVID-19 Policy

9.1 INCA has implemented robust health and safety measures to protect all attendees, speakers, sponsors, and staff during our Annual Symposium. If you’re planning to attend, you must adhere to all provided guidelines, bearing in mind that any public gathering can expose attendees to COVID-19—a highly contagious disease that may lead to severe illness or death. This risk is particularly acute for seniors and those with underlying chronic health issues. Should you have concerns regarding your health, we strongly advise consulting with a medical professional before registering for the Symposium to assess your potential risk.

9.2 By registering for the INCA event, you acknowledge the following:

  • You are fully conscious of the risks associated with COVID-19 that you may encounter at the Symposium.
  • You willingly agree to assume all potential risks, including those leading to death, bodily injury, or property damage, stemming from COVID-19 exposure during your attendance.
  • You release all Released Parties from any damages or claims (“Claims”) that might arise if you contract COVID-19, and you will not hold any Released Party responsible for such Claims.

9.3 When attending the Symposium, you also confirm that for the 14 days prior:

  • You have not experienced COVID-19 symptoms.
  • You have not cared for or been in close contact with anyone known or suspected to have COVID-19.
  • You have not been directed by any health authority, government agency, or regulation to self-isolate due to potential COVID-19 exposure.

9.4 In the event of a COVID-19 related cancellation, please notify us at admissions@inursecoach.com. No refund will be provided, but an INCA credit will be issued, minus a $200 fee. Your health and safety are our priority, and we appreciate your cooperation and understanding in these challenging times.

10 CANCELLATION, POSTPONEMENT, AND VIRTUAL CONTINGENCY POLICY

10.1 Changes to Event: INCA (Integrative Nurse Coach Academy, Inc.) retains the right to modify the Symposium’s program, date, or venue at any time without prior notice. Such changes may include cancellation, postponement, or a shift to a virtual format due to unforeseeable and unavoidable circumstances. This encompasses situations beyond INCA’s control such as force majeure, pandemics, natural disasters, accidents, trade or industrial disputes, terrorism, strikes, or hostilities. INCA will not be held liable for any loss or damage resulting from these changes.

10.2 Cancellation by INCA: Should INCA cancel the event for any reason, participants will receive a full credit for the registration fee paid. Please note that postponements and transitions to a virtual format are not considered cancellations, and no cancellation credit will be issued in these scenarios.

  • Postponement Policy: If the Symposium is postponed, all registration fees will be automatically transferred to the rescheduled event. These registrations will remain valid for the event with new dates or future editions if postponement occurs due to reasons beyond the organizer’s control. No refunds will apply in this case.
  • Virtual Contingency Policy: If the Symposium transitions to a virtual format, it may occur during the original scheduled dates and times, or after. Once the virtual Symposium concludes, INCA will not be liable for any further obligations to the attendee, and no refunds will be issued.
  • Notification Process: In any circumstance of cancellation, postponement, or a switch to a virtual contingency, INCA will take reasonable steps to notify attendees, such as posting announcements on the appropriate website.
  • Worry-Free Registration: We understand that uncertainties may arise, and we are committed to providing transparent and accommodating policies to ensure a worry-free registration process.

11 RECORDING AND PHOTOGRAPHY POLICY

11.1 No Recordings Allowed: Attendees must refrain from recording or live-streaming any part of the Event, including panels, presentations, screenings, stage performances, Q&A sessions, and chat room activities, without INCA’s express written permission. This also includes the prohibition of flash photography and taking screenshots in a virtual setting.

11.2 Personal Photography: Attendees may use handheld cameras or smartphones to take photographs for personal, non-commercial purposes, provided that such activity is not disruptive. These photographs must not be published, sold, reproduced, transmitted, distributed, or exploited commercially in any manner. Attendees are requested to refrain from taking photos or videos during sessions.

11.3 Liability for Recordings: The attendee is solely responsible for any photographs or other recordings created at the Event and agrees to indemnify and hold harmless the Released Parties from any claims, actions, liabilities, or expenses (including attorney’s fees) related to such recordings. This includes any claim that the recordings infringe upon the rights of another Symposium attendee or third party, such as copyright, trademark, trade secret, privacy, publicity, or other personal or proprietary rights.

12 RIGHT TO USE NAME, LIKENESS, VISUAL, AUDIO, AND IMAGE RELEASE:

By participating in the INCA Symposium, attendees grant INCA the ongoing, worldwide, royalty-free right and permission to record, photograph, and distribute their image, name, and voice. This includes, but is not limited to, photographs, electronic reproductions, webcasting, and other internet usage for all lawful INCA purposes. The permission is extended without limitations on forms and media, both now and in the future.


13 GOVERNING LAW:
These Terms and Conditions are to be governed by and interpreted in line with the laws of the state of Florida, disregarding any principles of conflicts of law.

14 INVALIDITY OF PROVISIONS: Should any part or provision of these Terms and Conditions be deemed invalid or unenforceable, the remaining Terms and Conditions will continue to be valid and enforceable in full force and effect.

15 MODIFICATION TO TERMS AND CONDITIONS: INCA has the exclusive right to alter, add to, amend, or remove any provisions of these Terms and Conditions at its sole discretion, without any prior notice.

16 Acknowledgment

By completing the registration process, you confirm that you have read, understood, and agree to abide by these Terms and Conditions. Failure to comply may result in termination of your registration without refund or legal action as deemed necessary by the organizers.
